Privacy Policy
What we collect, why we collect it, who we share it with, and the choices you have. This covers the J3 website and the training services that run on it.
Welcome to J3, and thank you for joining our online learning community. We at J3 Trainers and Consultants Inc. (“J3”, “we”, “us”) care about you, respect your privacy, and want you to understand how we collect, use and share data about you. This policy covers our data practices and describes your rights to see, correct or restrict our use of your personal data.
Unless we link to a different policy, this Privacy Policy applies whenever you visit or use the J3 website and its related services.
By using our services you agree to this policy. If you do not agree with it, or with any other terms governing our services, please do not use them.
1. What this policy covers
This policy sets out the privacy practices for j3trainings.com and applies to the information collected through it. It tells you:
- what personally identifiable information we collect through the site, how we use it, and who we may share it with;
- what choices you have about the use of your data;
- the measures in place to protect your information from misuse; and
- how you can correct anything we hold that is inaccurate.
2. How we collect, use and share your information
J3 is the owner of the information collected on this site. We use it to deliver your training, to communicate with you, and to respond to your questions and concerns. We do not sell or rent your personal information to anyone.
We share your information outside J3 only where it is necessary, and only for these reasons:
- To fulfil your request
- For example to submit training records to a regulatory body, to facilitate CPD unit credits with the Professional Regulation Commission, to release your certificate to an employer or institution when you ask us to, or to confirm to your employer that you completed a course.
- To service providers acting on our behalf
- We use trusted companies to host the platform and its database, to send email, and to help us understand how the site is used. They may process your data only to provide that service to us, under our instructions, and not for their own purposes.
- To advertising and measurement partners
- We advertise our courses on Facebook and Instagram, which are run by Meta. So that we can tell which of our adverts actually help someone find a course, we share a limited record of what you did on our site with Meta, described in the advertising sections below. This is different from the providers above: Meta also uses this data for its own advertising purposes, under its own privacy policy.
- Where the law requires it
- For example in response to a lawful request from a government body or a court, or to protect the rights, property or safety of J3, our students or the public.
3. The data we collect
What we collect depends on how you use our services. We collect some data directly from you, and some automatically as you use the site.
Data you give us, when you create an account, enroll in a course or contact us:
- your name, email address, mobile or landline number and account password;
- professional details where a course requires them, such as your PRC licence number and its validity, your profession, your employer or company, and your office address;
- the courses and schedules you choose, and the interests you tell us about;
- your proof of payment, together with the transaction or reference number on your receipt;
- identity documents where a course or a certificate requires verification, such as a photo of a government-issued ID, and your signature and the details on a signed enrollment form;
- your progress through a course, including which lessons you have completed, your quiz and exam answers and your results; and
- the content of messages you send us through our forms.
Data we collect automatically as you use the site:
- information about your device and browser, and your IP address;
- the pages you view on our site and the site you arrived from;
- the dates and times you sign in and use the platform;
- session and cookie identifiers that keep you signed in and keep your session secure; and
- advertising identifiers set or read by our advertising partners, including an identifier Meta places in your browser and, if you reached us by clicking one of our adverts, the click identifier carried in that link.
Where you place an order after arriving from one of our adverts, we keep the advertising identifiers above, together with your IP address and browser details as they were at that moment, alongside that order. We do this because your enrollment is confirmed by a member of our staff some time later, and without keeping them we would have no accurate way to tell which advert led to your enrollment.
This automatically collected data is gathered through server logs and the technologies described in the cookie sections below, and is associated with your account.
4. Your access to and control of your information
You may opt out of future contact from us at any time. You can do any of the following by writing to info@j3trainings.com or calling the numbers on our Contact page:
- ask to see what data we hold about you;
- ask us to change or correct it (we verify a formal name change before making it, so that the documents our platform produces stay accurate);
- ask us to delete anything inaccurate that we hold about you;
- ask us to release your training certificate to an employer or another institution;
- ask us to stop including your activity in the advertising measurement described below; and
- raise any concern you have about how we use your data.
5. How we protect your information
We take all reasonable precautions to protect the information you entrust to us, both online and offline.
We do not store card numbers on our own systems or on paper. Information you submit through the site is transmitted over an encrypted connection, and files you upload, such as proof of payment and identity documents, are held in private storage that is not publicly reachable.
Offline, your information is given the same protection. Only employees who need it to do a specific job, for example billing or student support, are granted access to personally identifiable information, and each of them signs a non-disclosure agreement with J3. The systems on which we store personal information are kept in a secure environment.
7. Advertising and the Meta Pixel
We advertise our training courses on Facebook and Instagram. To understand which of those adverts lead to a real enrollment, we use two tools from Meta together: the Meta Pixel, which runs in your browser and is described in the cookie section above, and the Conversions API, which sends the same kind of information directly from our servers to Meta.
Please read this part carefully if you use a cookie blocker. Because the Conversions API runs on our servers rather than in your browser, blocking cookies or using an ad blocker does not stop it. The choices below explain what does.
What we send to Meta about you:
- which of the actions listed above you took, and when;
- the course involved, its price and its category, where the action concerned a particular course;
- your IP address and browser details, and the Meta identifiers described above; and
- for an enrollment, your email address and mobile number, scrambled by your browser or our server into an unreadable code before they are sent, so that Meta can tell whether you are already known to it without us handing over your actual contact details.
What we do not send: your password, your proof of payment or the reference number on it, your identity documents, your signature, your PRC licence details, your quiz or exam answers, your results, your certificates, or the content of any message you send us.
We report an enrollment to Meta only once our staff have confirmed your payment, and we report the fact and the amount of that enrollment, not the details of the documents you submitted for it.
Meta uses this information both to report back to us on how our adverts performed and for its own purposes, under its own data policy. You can see and change what Meta does with data that businesses share about you in the Ad Preferences section of your Facebook or Instagram account, which you can reach whether or not you have an account with us.
9. Links to other sites
Our website links to sites we do not run. We are not responsible for the content or the privacy practices of those sites, and we encourage you to read the privacy policy of any site that collects personally identifiable information about you.
10. Changes to this policy
J3 may modify this Privacy Policy at any time without advance notice. Any change takes effect as soon as it is posted on this page, with an updated date shown at the top. Where a change is material we will take reasonable steps to tell you in advance. By using the site after a change has been posted you signify your agreement, on a prospective basis, to the modified policy. We encourage you to check this page from time to time so you know the current version.
